Hotel Policy

We strive to provide our guests with an exceptionally clean, safe, and friendly hotel experience. The following Hotel Policy/House Rules have been established based on industry standards, management and operational procedures, and our personal experience of owning and operating Colonial Hotel & Suites. These Hotel Policy/House Rules are considered a part of our reservation agreement with you. As our hotel guest, by reading and signing your hotel registration you are agreeing to abide by all our Hotel Policy/House Rules, terms and conditions, and procedures. These Hotel Policy/House Rules are presented here to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between Colonial Hotel & Suites and the guest. Our Hotel Policy/House Rules may change from time to time, so please check back often.

100% SMOKE-FREE

Colonial Hotel & Suites is 100% Smoke-Free unless in the designated area. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture. We do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cooking, cigars, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility.

Guests are encouraged to notify Front Desk staff immediately if they smell cigarette, marijuana, or other objectionable odors. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others. A Designated Smoking Area is provided outside and away from the building. Marijuana is always prohibited.

CANDLE, INCENSE, ESSENTIAL OILS

Candle, incense, essential oils (diffusing, vaporizing, etc.) are prohibited. These items and activities will be treated as smoking, a fine accessed, and the guest may be evicted with no refunds.

NO-COOKING, COOKING APPLIANCES, COMBUSTIBLES, OR FIREWORKS POLICY

The storage or use of any personal cooking or heating devices, combustibles or fireworks in guest rooms is strictly prohibited.

POOL/ COURTYARD AREAS– Rules and Regulations

  1. The pool area will be open for guests from 9a.m. to 10p.m. weather permitting.
  2. The pool is unsupervised. Guests swim at their own risk and the Colonial Hotel is not responsible for any injuries while using the pool facilities.
  3. Each guest must sign in and out at the entrance register of pool lounge, including their name, room number, and the time of entry and exit.
  4. Except for the Hotel Guests, access to the Swimming Pool Area is only granted to people with a valid entry ticket. Current admission fees and detailed information is provided by the Swimming Pool Reception Desk.
  5. Proper swimming attire must be worn in order to use the swimming pool facilities.
  6. Diving is strictly prohibited. Use the pool ladder to enter and exit the swimming pool.
  7. Running and horseplay in and around the pool facility is strictly prohibited.
  8. All children under the age of 12 must always be accompanied by a parent or guardian in swimwear in the pool and courtyard area.
  9. Children swimming with or without inflated teaching aids must at all times be under the strict supervision of their parent or guardian.
  10. Use of an infant life vest is encouraged.
  11. Food or beverages from outside Colonial Hotel are not allowed in the Pool or Courtyard areas.
  12. Eating and drinking is not permitted around the pool, except in designated areas.
  13. Glassware is not permitted in or around the pool area.
  14. Smoking and or vaping is strictly prohibited in the pool and courtyard areas. Any person who appears to be intoxicated or under the influence of drugs will not be permitted in the pool/ courtyard area.
  15. Towels will be provided upon arrival and must be left in the pool area upon exit.
  16. Loungers are available on a first-come basis and cannot be held if unattended for extended periods of time.
  17. Store all valuables in a safe area. Colonial hotel or its management and staff is not responsible for any loss or damage to valuables.
  18. Alcoholic beverages from outside Colonial Hotel are not allowed in the pool and courtyard areas.

These rules and regulations are subject to change at any time without notice.

PRIVATE CABANAS

Private cabanas are available by reservation only. Ask the guest service agents at the front desk or at the Cabana Lounge for pricing and availability.

GUARANTEED RESERVATIONS

All reservations must be guaranteed with a valid major credit card. Guests must be 21 years and older. We accept Visa, Master Card, Discovery Card and American Express. No cheques and no cash. Your credit card guarantees your reservations. Please make sure to receive a reservation confirmation number when you make a reservation.

The Colonial Hotel & Suites is not responsible for weather conditions, personal emergencies, or schedule changes.

EARLY CHECK-IN/PRE-REGISTRATION

Early check-in is offered based on availability. Please contact Front Desk staff to inquire about early check-in.

CHECK-IN REQUIREMENTS

Guests must be at least 21. years of age to check in at Colonial Hotel & Suites. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (driver’s license, passport, etc.) at check-in. A valid, signed, and pre-approved credit card in the name of the guest registration is also required. It is your responsibility to fully understand the way your bank processes pre-authorizations and charges to your credit/debit card. Some banks hold pending authorizations for up to 30 business days.

GUEST REGISTRATION

We require valid contact information from the guest making the reservations including first and last name, address, phone number, and signature. The names of all guests occupying the room must be registered. Information regarding your license plate/car description is also gathered at check-in for security.

CHECK-OUT PROCEDURE

Check-out time is 11 a.m. Please check-out with Front Desk so that housekeeping may begin cleaning your room as soon as possible. If you require a later check-out, please contact Front Desk prior to the day of your departure and we will do our best to accommodate your request. A charge may apply for late check-out.

EARLY DEPARTURE

Guests who check out of the hotel after 11:00 a.m. and prior to their scheduled departure date are subject to an early departure fee of one night, plus tax.

SPECIAL REQUESTS

We will make every effort to honor special requests such as a specific floor or room number, adjoining rooms, roll-away beds, refrigerator upon your arrival. All special requests are noted on reservations, and we will do our best to accommodate. However, the availability of these items cannot be guaranteed in advance.

ADA/HANDICAPPED ROOMS

Four ADA compliant guest rooms are available and should be reserved in advanced; please contact the hotel directly (519) 238-4000.

PAYMENT

All reservations and registration must be guaranteed with a valid major credit card. We accept Visa, Master Card, Discovery Card and American Express. Pursuant to credit card agreements, credit cards are not valid unless signed by the cardholder. Credit cards must be signed. All guests are required to present a valid major credit card and government issued photo identification.

RESERVATION & PAYMENT POLICY

50% deposit from an accepted credit card required at time of booking.

Reservations must be cancelled 72 hours prior to your arrival date to avoid a one (1) room night charge plus tax. Reservations will be held until 11:00 a.m. the morning following your scheduled arrival date. If you have not checked in by this time, a NO-SHOW charge of one (1) room night plus tax will be charged to your credit card and your full reservation will be cancelled.

DEPOSITS AND GUARANTEES

50% of stay deposit from an accepted credit card is required.

RATES

All rates are quoted in Canadian currency, plus tax. Rates may increase without notice. Rates as advertised on the Colonial Hotel & Suites website, or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion.

RIGHT TO REFUSE SERVICE

Colonial Hotel & Suites is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Canadian laws. Colonial Hotel & Suites has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established. Colonial Hotel & Suites will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with liquor laws; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Colonial Hotel & Suites for the operation and management of our hotel.

NOISE POLICY

We enforce quiet hours from 10 PM to 7 AM. During this time, guests are expected to keep noise levels to a minimum to ensure that all guests can enjoy undisturbed rest.
Guests are asked to refrain from disruptive behavior and excessive noise, including loud conversations in the lobby and hallways, loud music, shouting, high television volumes in guest rooms, slamming doors, and any other sources of disturbance.
If noise becomes an issue, Colonial Hotel staff will promptly investigate and address the source of the disturbance. This may involve reminding guests of the noise policy and issuing warnings. If disruptive behavior continues after a warning, the Colonial Hotel reserves the right to terminate the guest(s) stay and require immediate departure. This is done in consideration of the well-being and comfort of other guests, as well as our commitment to maintaining a respectful, harmonious, and peaceful environment.
Guests evicted due to disruptive behavior will not be entitled to a refund for any unused portion of their stay. Additionally, guests will be responsible for any costs or expenses incurred by the Colonial Hotel as a result of their disruptive behavior or breach of the noise policy, including but not limited to, providing alternative accommodations or concessions to other affected guests. Guests authorize the payment of such costs from the credit card account provided at the time of reservation. Please note that shouting or loud noises from doors, balconies, or windows are not permitted at any time. Management reserves the right to confiscate any items used to create excessive noise. After 10 PM, no noise should be audible outside of guest rooms.

DO-NOT DISTURB AND ACCESS TO ROOMS

To provide all our guests with an exceptionally clean and safe hotel experience, we provide housekeeping upon request. Our Housekeeping Staff will honor the “Do Not Disturb” door magnate once during a twelve-hour period indicating that the room is occupied. The Housekeeping Staff is required to enter the room at subsequent times to clean the room, check for safety, and verify the condition of the room. Management reserves the right to enter a room with a known status of “IN” for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Hotel Policy/House Rules. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Hotel Policy/House Rule is broken. Law enforcement will be granted immediate access to hotel property and rooms of evicted guests.

It is the responsibility of each guest to safeguard their own valuables and personal property while staying at The Colonial Hotel & Suites.

Colonial Hotel & Suites shall not in any way whatsoever be responsible or liable for lost, misplaced, or damaged guest valuables or belongings or any other of the guest’s property.

Keep your door closed when not in the room or when you are sleeping and do not share your hotel card/key with any other person.

If you discover that you have left behind something of value to you, please call us immediately and we will try to assist you in locating your lost item.

ADDITIONAL BEDDING

A limited number of rollaway beds and baby cribs are available upon request. Availability is on a first-come, first-served basis. The charge is $50.00 per cot and $20.00 per crib, plus tax per night. For safety, pillows are not provided for cribs.

ROOM KEYS

Room keys are issued to the registered guest(s). No room keys will be issued to youth under 21 at any time. I.D. is required if you have lost your key and require a duplicate. Please return room keys to Front Desk at Check-out.

HOUSEKEEPING/ROOM INSPECTION

Housekeeping is provided daily between the hours of 11 a.m.-4 p.m. Housekeeping may start as early as 10 a.m. This is a 100% NON-SMOKING hotel, including medical marijuana. Rooms are cleaned and inspected after each stay, and a detailed log is maintained on each room and linen. If our investigation concludes that you have smoked in your room, cooked, or brought a prohibited item into our facility, you will be charged an addition cleaning fee and evicted without any refund. Damages and or conditions that make the room unrentable, a charge will be billed on your credit card for the extra cleaning or damage assessment.

FRESHEN UP PROGRAM & BED LINEN REPLACEMENT

Your comfort is very important to us and so is the environment. Considering this, we’ve introduced an optional service for towel replacement and bed-making known as the environmentally conscious “Freshen Up” program. For guests staying greater than 1 night, we offer the “Freshen Up” Service. Upon check-in, our front desk staff will confirm if you would like this service included. If at any time during your stay you would like our Freshen Up only service which includes towel replacement and bed making and garbage removal. Please place the “Do Not Disturb” door magnate on the outside of your door if you do not wish this service. We will only make the bed if there are no person items on the bed. Please contact our Front Desk staff if you have any additional questions or concerns.

LOST & FOUND POLICY

Colonial Hotel & Suites assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately and we will try to assist you in locating your lost item.

NO IN-ROOM PARTY

Colonial Hotel & Suites enforces a No In-Room Party Policy to ensure we can always protect the hotel and our guests. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these

premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without refund. Registered guest(s) is responsible for all persons visiting. Non-Registered visitors are only permitted until 10:00 P.M. If found with more “people” not listed on the Guest Registration Form after 10:00 P.M. your stay will be considered a party. You will be ordered to vacate the premises without refund and may be assessed a Guest Compensation Disturbance Fee.

FREE Wi-Fi ACCESS

Access to our Wi-Fi is free for our registered guests. The hotel Wi-Fi access code is subject to change without notice. Wi-Fi signals are subject to change without notice depending on the room’s location, the status of our Wi-Fi equipment, and interference from other local wireless signals. Colonial Hotel & Suites assumes no liability for guest use.

TERMS & CONDITIONS

Colonial Hotel & Suites makes its best efforts to ensure that all the information that appears on its website is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free. All Colonial Hotel & Suites does not accept liability for any errors and/or omissions and reserves the right to change the information published at any time and without notice.

PARKING AT OWN RISK

All vehicle(s) must be listed on the registration at check-in. Parking for registered guest(s) is free. All vehicles are parked at the risk of the owner. Colonial Hotel & Suites shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property. If a vehicle is left in the hotel parking lot after the guest has departed without the written consent of the hotel, a flat fee of $40.00 will be charged 20 minutes after permitted check out. The hotel reserves the right to have the vehicle towed at the owner’s expense. Complimentary parking is available during your stay with in/out privileges. The parking Pass must be displayed and visible on the dash of your vehicle. One complimentary parking Pass will be provided to each room. Additional parking spaces are available at a daily rate. After checking out your vehicle will be charged on a daily rate.

DAMAGE AND/OR THEFT OF HOTEL PROPERTY

You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room(s), hotel’s premises or property caused by you or any person in your party during your stay. Colonial Hotel & Suites reserves the right to retain your credit card details as presented at registration and charge the credit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by Colonial Hotel & Suites as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit card for any damage incurred to your room of the Hotel property during your stay, including and without limitation for all property damage, missing or

damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting a specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum. Guest rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to a maintenance deep cleaning fee, administration fee and/or third-party fees. Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, artwork, etc. will be 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued. Damage to mattresses and linen including towels, mattress pads, sheets, bedspreads, blankets resulting from the use of bodily oils, make up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPTMENT

The Colonial Hotel & Suites reserve the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

NO PETS Pets are not permitted. Service Animals must be proven with legitimate documentation.
